Amazon Settlement Software Demo Checklist

Bring one closed settlement period and a specific question to a software demo. A polished total is less useful than seeing how the vendor gets from source transactions to that total, what remains unmatched, and what a reviewer can export.

Prepare a safe comparison pack

Choose the period: Note the marketplace account, currency, settlement dates, statement identifier, and expected transfer. Use one closed period so every vendor reviews the same boundary.
Keep the source: Download the original settlement statement from Seller Central's Payments reports and retain an unchanged copy. Add a transaction report if the question needs individual order, refund, fee, or adjustment detail. Use the labels available in your own account.
Choose three test cases: Include an ordinary order and fee, a refund relating to an earlier order, and a line that needs investigation. If the real period has no such item, add a clearly labeled synthetic case rather than altering the original report.
Check the bank separately: Record whether the transfer was initiated and whether the matching receipt has arrived. A payment still in transit is a different question from an unexplained statement line.
Protect the data: Redact buyer details, account numbers, addresses, and other unnecessary identifiers in a working copy. Preserve stable dummy references so the same transaction can be followed across files. Do not upload real files or grant account access until the vendor's access, retention, deletion, and contractual terms have been reviewed.

Amazon's published India guidance separates settlement statements, transaction reports, and date-range reports. A statement is the starting point for the payout question; a custom date-range report can help investigate an individual event, but a sales summary alone cannot establish the bank transfer.

Run the same five checks with every vendor

Open exception	Show an unmatched line, who owns it, what evidence is attached, and how a manual correction is recorded.	Exception status, audit trail, and what persists next period.
Handoff and controls	Export the reviewed result and show reviewer permissions, data deletion path, account limits, and the full written price.	Export fields, roles, retention, setup or usage charges, and exclusions.

Score what you actually observed

Mark each check shown with source trace, shown only as a summary, promised for later, or not supported. Keep the sample report version and demo date next to the score. Do not turn a verbal roadmap promise into a demonstrated capability. Compare the vendor result with your own controlled spreadsheet review and resolve any different total before purchase.
