How to Reconcile an Amazon Settlement Report

To reconcile a settlement, start with the settlement statement, then group its transactions into sales, refunds, fees, other adjustments, and the amount transferred. Check period boundaries before investigating an apparent gap.

Records you need

  • The settlement statement for the chosen account and date range.
  • Order and refund records covering the same transactions, including adjacent dates when a payout crosses periods.
  • Any internal ledger entries you want to compare.

Review procedure

  1. Record the statement opening and closing balances, or equivalent summary.
  2. Group each line by transaction type while preserving the source identifier.
  3. Match orders and refunds to statement entries. Flag duplicates and unmatched items.
  4. Account for fees and other adjustments separately.
  5. Reconcile the resulting transfer amount to the actual bank receipt, allowing for bank timing.

A refund, reserve, or fee is not automatically an error. If the amounts still disagree, investigate the individual statement lines rather than using a single “missing payout” total.

Worked example, illustrative: ₹10,000 in sales minus ₹1,500 in marketplace charges and ₹2,000 in refunds leaves ₹6,500 before any other adjustment or timing difference. The figures are teaching inputs, not a representation of an actual Amazon report.
