Which Amazon Buyer Questions Can Be Automated?
Automate classification and preparation before you automate sending. A buyer's question may have a straightforward answer, but a message should go out only through an approved channel, with current order facts, the right permissions, and the applicable Amazon communication rules.
Start with the communication rule
Amazon says buyer messages should be necessary to complete an order or respond to a customer-service question; they are not a marketing channel. Amazon India also recommends its message templates for permitted critical contacts. A seller should check the current policy and the order's contact options before enabling any proactive workflow. A buyer asking a question and a seller initiating contact are different situations.
| Situation | Possible workflow | Hold or escalate when |
|---|---|---|
| Buyer asks where an order is | Retrieve the latest authorised order and carrier status, then prepare a short factual reply through the approved channel. | The status is stale, absent, contradictory, or outside the seller's visibility. Never invent a delivery date. |
| Buyer asks a factual product question | Use a maintained, verified product fact to prepare a reply. | The answer depends on an unverified specification, suitability judgment, warranty exception, or safety concern. |
| Buyer reports a damaged item, missing parcel, refund, or cancellation problem | Classify the issue and gather the order reference for a person. | A remedy, refund amount, liability, or promise must be decided. Route it to the authorised team. |
| Seller wants to send a promotional or duplicate shipment update | Do not queue a buyer message solely for promotion or a routine confirmation Amazon already provides. | The purpose is marketing, a coupon, a review incentive, or a generic check-in. |
Five checks before any send
- Permission: Is this contact permitted for this order, buyer, channel, and message purpose?
- Evidence: Which current record supports each statement? Show the timestamp and source to the reviewer.
- Scope: Is the answer factual, or would it make a refund, delivery, or policy commitment?
- Control: Does the configured workflow draft, request approval, or send? Test the actual setting rather than assuming a label describes the behavior.
- Trace: Keep a minimal record of the decision and any escalation without copying unnecessary buyer personal data into analytics.
Example: A buyer asks for tracking. If the order record has a current carrier status, a draft can quote that status and its last update. If the carrier has no scan, the draft should acknowledge uncertainty and route the case to a person. Neither branch should promise delivery by a date the record does not support.
What this says about QarBexOS
This is a workflow design guide, not proof that QarBexOS can read every order or send messages for every Amazon account. In a demo, ask which sources it connects to, which actions require approval, how exceptions reach a person, and where an audit trail is kept.
